Preparing for an Office Move

Preparing for an Office Move

Research

The first thing you should do is be diligent by contacting several different office movers within Toronto to get a ballpark idea of the services they offer, so that you can compare “apples with apples” when speaking with other movers.  Not all cheap movers are bad, and not all expensive movers are excellent in the GTA.  Finding an affordable mover is what you probably should strive for- a high quality service that is within your budget.

You can always read up on service reviews through a variety of local and national “service review” websites. Talk to friends and relatives and get recommendations on choosing the best moving company. Once you choose the best moving company, you can proceed with the next step which is to obtain a moving quote.

It’s merely impossible to obtain an accurate quote over the phone because there are variables and factors which determine what you may be charged for- not all moving jobs are the same.  Thus, a professional office mover (or movers in general for that matter) will always come to your premises to calculate and provide moving quotations. Moreover, by having a representative from the moving company at your location will give you a feel of his or her company that they represent, ask them about recent moves (in person), as well as asking questions pertaining to your own move.

Create a Contacts List

When you are preparing for the office move, create a list of contacts comprised of your customers, suppliers and creditors.  Send each of them an email notifying them of your relocation move, and then call each one to confirm the receipt of your email.

Assign Tasks to Your Employees

After you’ve settled and hired on an office moving company, it’s time to assign packing and organizational tasks to employees in preparation before the moving date.  The more structured and organized you are, the more swift your move will be.

This is a great time to get rid of unnecessary items which will only promote clutter, and so ask your employees for feedback as to what should be transported to the new office location, and what your business can do without.

Furthermore, it’s a great idea to distribute a hand-out to each employee stating all of the tasks, and who has been delegated for each respective task(s).  That way, if there are any questions, your employees can work amongst each other.  This is a great exercise which will encourage “team effort” and improve interpersonal skills within your office departments.

Change Your Website

If you have a webmaster, you want to ask him to update your company’s website so that it includes the new location’s address and phone number.  Secondlly, have new business cards produced with your company’s new details.
